Five Tips for Non-Profit Appeal Mailings

Creating effective appeal mailings is crucial for non-profits looking to engage donors and secure funding. Here are five essential tips to enhance your appeal mailings.

1. Personalize Your Appeal Letter: The more personalization the better! This includes the salutation, details within the letter and even the ask amounts based on the supporter’s previous donations. Here at Champ, our HP Indigo Digital Press has the capabilities to print variable data throughout a piece, making it custom for the recipient.

2. Connect with Stories and Visuals: Visual and written elements within an appeal letter help reach donors minds and hearts. Writing an engaging story can keep the reader interested, while connecting them with your cause. In addition to stories, many of our non-profit and educational client’s include photos and images within their appeal to better connect with the reader. A great photo gets the reader to visualize and really “see” into the appeal’s story.

3. Include a Short Message, Teaser Copy or Event Logo on the Outer Envelope: The front of the envelope is your first and best chance to engage the donor with your message. Your message or logo should be headlined big and bold to grab their attention.

4. Include a Reply Card, Remittance Envelope or QR Code in your mailing: Donors like to submit their donation or event response via mail or online. Why not give them both options? QR codes are easy to print on a letter, reply card or envelope. Want to see samples, just ask!

5. Apply for Non-Profit authorization with USPS to mail with non-profit postage rates: Non-profit postage rates are significantly less than presort standard and first class. There is a small yearly fee with the post office to maintain non-profit status; however, the savings on postage is worth it. Signing up is easy and if you have any questions our team can help!

By implementing these strategies, non-profits can create more engaging and effective appeal mailings that connect with donors and drive contributions.
